This notice explains what personal data Smooth Cars collects, why, and what you can do about it. It was last updated on 14 September 2026.
Who we are
Smooth Cars is the data controller for the personal data described here. Our contact details are on our contact page.
What we collect and why
- Booking data - your name, telephone number, email address, pickup and destination addresses, and journey times. We need these to provide the transport you booked. Lawful basis: performance of a contract.
- Payment data - we do not store card numbers. Card payments are processed by our payment provider and we retain only a transaction reference and the amount.
- Marketing preferences - only if you opt in. Lawful basis: consent, which you may withdraw at any time.
- Technical data - your IP address and session information, to keep the site secure and working. Lawful basis: legitimate interests.
How long we keep it
Booking and payment records are kept for seven years, because HMRC requires it. Marketing consent records are kept until you withdraw consent, plus two years. Enquiry messages that do not become bookings are deleted after two years. Website logs are kept for 90 days.
Who we share it with
Your name and telephone number are given to the driver assigned to your journey, so they can find you. Your payment is processed by our payment provider. Confirmation messages are sent through our email and SMS providers. We do not sell personal data and we do not share it for advertising.
Where it is stored
Passenger data is stored on servers in the United Kingdom or the European Economic Area.
Your rights
You may ask us for a copy of the data we hold about you, ask us to correct it, ask us to delete it, or object to our processing it. Contact us using the details on our contact page and we will respond within one month. Data we are legally required to retain for tax purposes cannot be deleted before that period expires. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
